If you are closing your business for renovation or a vacation of two weeks or more, tell customers three to four weeks ahead: on the door, on your Google Business Profile, on social media and in a message to your regulars. Every notice should give the exact reopening date and a reason to come back in the first week. A few days before you reopen, remind them.

Closures do not lose customers; habits elsewhere do. Below you will find when and where to announce the closure, how to set it on Google, a closed for vacation sign template, what to do while you are closed and how to plan the first week after reopening.

When to tell customers you are closing

The longer you close, the earlier you should say so. A regular needs a replacement for the morning coffee or the haircut. If they learn about it from the door the day before, they pick one on their own and may stay there.

A sensible timeline:

  1. Three to four weeks ahead: a notice at the till, a post on Instagram and a message to your regulars. For a renovation, six weeks ahead is fine.
  2. Two weeks ahead: a sign on the door and in the window. In a salon, offer clients an appointment before you close or right after you reopen.
  3. The last week: staff mention it to everyone at payment. Short, with the reopening date.
  4. On the closing day: update your Google profile and leave a sign on the door with the date you are back.
  5. Two to three days before reopening: a reminder on every channel you have.

Where to announce that your business is closed

If the details do not match everywhere, someone will arrive at a locked door and blame you.

  • Door and window: a clear sign that can be read from the street.
  • Counter and tables: a small card by the till or on tables, weeks ahead.
  • Google Business Profile: where most people check whether you are open.
  • Website: a notice on the home page, not hidden in a news section.
  • Social media: a post and a story, plus a line in your bio.
  • A message to regulars: they matter most, so they should hear it first.
  • Booked clients: in a salon or for reservations, call or write to everyone the closure affects.
  • Phone and email: a voicemail message and an automatic reply with the reopening date.

How to mark your business temporarily closed on Google

Google has a setting for exactly this. According to its Business Profile Help, use Temporarily closed if your business is closed for more than seven days, for the off season, or indefinitely. Shorter closures, such as a few days over the holidays, are handled with special hours.

In your profile:

  1. Open your Business Profile and select Edit profile.
  2. Go to Hours and choose Temporarily closed.
  3. Save. Google reviews changes before they go live, so check your listing in search a little later.

Two things to watch. Google says temporarily closed businesses may rank below open ones for broad searches. So switch the status on on the day you close, not weeks before. And on the day you reopen, switch back to Open with main hours right away, or Maps will keep showing you as closed.

Put your reopening date in your profile description and in a Google post.

What to write on a closed sign: templates

A good sign answers three questions: from when, until when, and why it is worth coming back. One sentence on the reason helps: a renovation is something to look forward to, a vacation something the team has earned.

Closed for vacation sign:

Closed for vacation from 4 August to 18 August.
We are taking a break so we can keep making the best coffee in the neighbourhood. We reopen on Monday 19 August at 7:00. In the first week, everyone who shows their loyalty card gets a pastry with their coffee. See you soon!

Closed for renovation sign:

Closed for renovation from 2 March to 23 March.
We are building new seating and a bigger counter for you. We reopen on Tuesday 24 March at 8:00. Regulars are invited on Monday evening for a first coffee in the new space. Follow the progress on our Instagram.

The dates are only an example. What matters is that the reopening date is the biggest thing on the sign and the same everywhere.

How to tell your regulars you are closed for the holidays

A sign on the door reaches people who walk past. Regulars deserve more: a personal word at the till and a message that reaches them even when they are not nearby.

If you have a digital loyalty card, send all its holders a short message to their phone. It shows on their lock screen. With Rewardly you can write such a push notification in advance and schedule it for a specific date and time, up to a year ahead. Before you leave on vacation, you can prepare both the closing notice and the reminder before reopening. Push notifications are included in the Advanced plan and higher, and they only reach customers who agreed to marketing messages.

Example message before closing:

We are on vacation from 4 to 18 August. We reopen on 19 August, and in the first week there is a pastry with your coffee. Thank you for coming to us!

One message before you close and one before you reopen is enough. More messages during the closure tend to annoy people.

While you are closed: do not disappear

Two or three weeks of silence is enough for a customer to settle in elsewhere. Show up now and then.

  • Show the renovation. Photos of the work, new colours, the first chairs. People like watching something take shape and look forward to the result.
  • One post from the vacation is enough. The team on a trip, a new recipe you are testing. No daily updates.
  • Answer messages and reviews. Anyone asking when you reopen should get an answer the same day.
  • Keep selling gift vouchers. Online sales do not need an open door, and a voucher brings a customer in after you reopen. Rewardly gift vouchers are on the Professional plan, and the buyer receives them by email right after paying.

A reason to come back right after reopening

The biggest risk is not the closure but the first two weeks after it. A customer who got used to another café over the summer comes back when given a reason. Give them one.

  1. A small reward for regulars. A pastry with the coffee, a small extra with the service, for one week. Staff give it based on the loyalty card.
  2. A preview evening for regulars. Especially after a renovation. Invite them the day before the official reopening, show them the new space, let them taste something. They will talk about it.
  3. A double stamp day. On a Rewardly stamp card you can set days when customers earn twice the stamps. For the first weeks after reopening, put it on your quietest weekday.
  4. Something new on the menu. A new drink, a new dish, a new service. A closure is a good time to prepare it. Here is how to announce a new product to your regulars.

A big discount for everyone does not pay off. It attracts people who come once and lowers the price for regulars who would have paid it anyway.

A reminder before you reopen

Two to three days before reopening, speak up everywhere at once: a message to card holders, a social media post, the door sign changed to "We reopen on Monday at 7:00". If you sent a message when you closed, this one should follow on from it: the date, what is new and the reason to come.

We are back! We reopen on Monday 19 August at 7:00. All week there is a pastry with your coffee, just show your card.

The first week after reopening

The first week decides whether customers return to their old habit.

  • Be fully ready. The full menu, the full team, no "we do not have that yet". Someone who leaves disappointed will not come the following week.
  • Say thank you. To regulars, in person: "Good to see you again."
  • Offer the card to every new customer. After a renovation, curious neighbours drop by too. They add the digital loyalty card to their phone in 10 seconds, no app needed.
  • Measure. Compare the number of transactions in the first two weeks with the same weeks before you closed. If you have a loyalty program, check how many regulars have already come back.

For those who have not come back: on the Advanced plan and higher, Rewardly lets you set a message that goes out if a customer has not come back within a number of days you choose after a visit. You build it yourself as a sequence of steps.

If you close in summer because it is a quiet time for you, plan the September return too: a date, one new item on the menu and a message to regulars in the first week. Facing a bigger change? See how to keep customers through road works outside your door or when moving to a new address.

FAQ

How far in advance should I tell customers I am closing?

For a two to three week vacation, three to four weeks ahead is enough; for a longer renovation, up to six weeks. That gives regulars time to arrange an alternative and remember the reopening date. Put the sign on the door at least two weeks ahead.

Should I set my Google profile to temporarily closed or use special hours?

Google's Business Profile Help says to use Temporarily closed for closures of more than seven days, for the off season or for an indefinite period. Shorter closures are handled with special hours. On the day you reopen, switch back to your main hours.

What should a closed for renovation sign say?

When you close, when you reopen, with the reopening date and time in the biggest letters, and one line on why it is worth coming back. That can be something new on the menu or a small reward in the first week. Use the same date on Google and on social media.

How do I make sure customers come back after a vacation?

Send regulars a reminder two to three days before you reopen and give them a reason to come in the first week, such as a small reward on their loyalty card. Be fully ready from day one. Send one more message to those who have not come back within two weeks.

Is it worth staying in touch with customers during a renovation?

Yes. Photos of the work on social media keep interest alive, and people look forward to the result. Invite regulars to an evening before the official reopening to show them they come first.
